Supplier Code of Conduct

The standards BundleIQ expects from every vendor on the platform. These are not aspirational — they are the minimum requirements for remaining approved. They apply to your conduct with buyers, with BundleIQ, and in your wider business operations.

BundleIQ's value to buyers depends entirely on the quality and integrity of the vendors on the platform. This Code exists to protect buyers, to protect the platform's reputation, and to protect honest vendors from being undercut by those who operate unethically.

Deliver what you said you would. On scope. On time. To the agreed standard.

Protect buyer data. Comply with UK GDPR. Never use buyer data for other purposes.

Operate responsibly. Know your environmental footprint. Reduce it where you can.

No gifts, kickbacks, or inducements to buyers or BundleIQ staff. Zero tolerance.

1. Integrity and commercial dealing

Accurate representation
Your profile, capabilities, certifications, and references must be accurate and current
Responses to requirements must reflect work you can genuinely deliver
You must disclose any material conflict of interest before submitting a response

Pricing honesty
Prices submitted must reflect genuine commercial rates — not artificially low bids intended to win and then renegotiate
Prices to BundleIQ buyers must be equal to or better than you would offer those buyers directly
Any subsequent change order pricing must be fair and proportionate to the additional scope

Anti-collusion
You must not discuss pricing, bids, or strategies with other vendors responding to the same requirement
You must not coordinate responses with competitors to fix outcomes

2. Delivery standards

Scope compliance
Deliver the scope, quality, and service levels defined in the contract
Notify buyers promptly if you anticipate any difficulty meeting a deliverable or deadline
Never submit a milestone as complete when it is not — this constitutes fraud

Communication
Respond to buyer messages within the timeframes set in the contract (or within 2 business days where not specified)
Use the BundleIQ platform for all contract-related communications to maintain an audit trail
Escalate issues early — buyers prefer an early warning to a late surprise

Evidence of delivery
Submit clear, specific evidence when claiming a milestone — reports, sign-offs, photos, access credentials, or whatever is appropriate to the deliverable
Evidence must be genuine and accurately represent the state of delivery

3. Treatment of people

Employment standards
Pay all workers at least the UK National Living Wage
Comply with the Working Time Regulations 1998
Not use zero-hours contracts as a means of avoiding statutory employment rights
Provide a safe working environment that complies with UK health and safety law

Modern slavery
Have and implement a modern slavery policy appropriate to the size of your business
Not use forced, bonded, or trafficked labour anywhere in your supply chain
Report any suspected modern slavery in your supply chain to BundleIQ and relevant authorities immediately

Non-discrimination
Not discriminate on the basis of age, disability, gender, race, religion, or sexual orientation in your business operations
Treat all BundleIQ buyers and their employees with respect and professionalism

4. Data protection and confidentiality

Data handling
Comply with UK GDPR and the Data Protection Act 2018
Use buyer data only for fulfilling the contract — never for marketing, profiling, or sharing with third parties
Notify BundleIQ and the buyer within 72 hours of discovering any data breach involving buyer data
Delete or return buyer data on contract completion in accordance with the contract terms

Confidentiality
Keep buyer commercial information, pricing, and requirement details confidential
Not share a buyer's identity or requirements with competitors or other third parties

5. Anti-bribery and gifts

BundleIQ operates a zero-tolerance policy on bribery and corruption, consistent with the Bribery Act 2010.

Zero tolerance
Never offer, give, or accept bribes, kickbacks, or corrupt payments in any form
Never offer gifts, hospitality, or entertainment to BundleIQ employees or buyer representatives that could reasonably be seen as influencing a commercial decision
Reasonable token gifts (under £25 in value, infrequent) are permitted but must be disclosed to BundleIQ on request
Report any request for a bribe or inappropriate inducement to BundleIQ at legal@bundleiq.co.uk immediately

6. Environmental responsibility

We don't expect all vendors to be net zero tomorrow. We do expect you to know your footprint and to be moving in the right direction.

7. Reporting and accountability

If you become aware of a breach of this Code — by yourself, a colleague, or another vendor — you should report it through the platform or by emailing conduct@bundleiq.co.uk.

BundleIQ investigates all reports in confidence. Whistleblowers are protected from retaliation.

Confirmed breaches may result in formal warning, Trust Score reduction, suspension, or permanent removal from the platform depending on severity.
